The University of Nairobi is implementing a United States Agency for International Development (USAID) project (USAID Fahari ya Jamii) to support the implementation of the Kenya Health Partnerships for Quality Services (HIV, FP/RMNCAH, Nutrition, and WASH) in Nairobi and Kajiado Counties. To successfully implement, the project seeks to competitively fill the above position:

The Position

This is a full-time position based in Nairobi

Duties and responsibilities

  •  Ensure that DA1 forms are timely filled for all invoices that meet the threshold and package of completed forms is dispatched to USAID for approval. (4 copies of DA1 forms are prepared for every invoice: 1 copy for the supplier, 1 copy for KRA, 1 copy for USAID, and 1 copy for FYJ).
  •  Ensure that each DA1 is accompanied by the relevant invoice and valid TCC for the supplier.
  •  Received approved DA1 forms from USAID and reviewed them for any feedback.
  •  Separate rejected DA1 forms attend to corrections required and resubmit for approval.
  •  File FYJ’s copy of approved DA1 and dispatch supplier copy for VAT reimbursement. Initial dispatch will be done via email with hard copy dispatch to follow.
  •  Ensure acknowledgment of receipt of hard copy dispatched to the suppliers via documented sign-off.
  •  Update the VAT Master Matrix report capturing all the details of each DA1 form, and updating the status of reimbursements/refunds. Capture/track follow-up dates with the suppliers.
  •  Make frequent follow up with the suppliers to reimburse the VAT approved for exemption.
  • The follow-up will be done via email, calls, and physical visits. Each follow-up feedback should be documented.
  •  Provide the Senior Finance Officer and Senior Project Accountant with information on reimbursements made via cash/cheque deposits or credit notes and ensure these are credited to the ledger accounts where the initial expense was booked.
  •  Prepare the bi-weekly VAT Status report for review by the Senior Finance Officer and FAM for onward submission to USAID.
  •  Track DA1 applications submitted and not yet received from USAID and prepare a list of such DA1 as part of the bi-weekly report to USAID.
  •  Compile a monthly report on refunds received and the expenditure budget line that these have been credited.
  •  Any other duties that may be assigned by the supervisor

Job specifications

  •  Bachelor’s degree in any of the following fields: Accounting, Finance or Business Administration
  •  Be a Certified Public Account, Kenya CPA (K) or equivalent qualifications
  •  At least three (2) years of relevant experience
  •  Knowledge of and experience in Public Finance and procurement Procedures in an NGO setting will be an added advantage.

Terms of appointment

  • This a position whose tenure is one (1) year contract renewable based on performance and by mutual consent. The salary is negotiable depending on the level of education and work experience.

The Position

Job Summary

The Communications Officer will provide essential support to the Communications Lead in executing the project’s communication strategy. This role involves active participation in various communication tasks, including content creation, event coordination, media engagement, and dissemination of project achievements. The incumbent will collaborate with project teams, partners, and stakeholders to enhance the project’s visibility and impact through effective communication efforts.

Duties and responsibilities

Specifically, the Communications Officer will perform the following job duties:

  •  Assist the Communications Lead in supporting strategic communication tasks, such as the development and production of information products and publications, event coverage, fieldwork, photography, social media management, and writing.
  •  Solicit project information in coordination with program staff to gather information for writing programmatic communications including manuals, graphics, articles, success, and impact stories that offer analytical storytelling; document best practices, human interest stories and work with project team leads, advisors and specialists to refine the stories for publication
  •  Support the creation, finalization, and distribution of written products, including reports, updates, success stories ensuring compliance with branding, and marking guidelines.
  •  Work closely with the program teams on the design and production of patient literacy materials, and update project profiles for maximum impact.
  •  Support the creation of valuable content (case studies, one pagers, short videos, tweets, Facebook, and LinkedIn posts etc.) to disseminate learning and results to different stakeholders (USAID, implementing partners, county governments etc.
  •  Support sub awardee communication activities and ensure adherence to branding and marking guidelines.
  •  Ensure all information for external use presents accurate information and appropriate images, and does not put USAID and University of Nairobi at risk
  •  Support in managing USAID Fahari ya Jamii photo library and conduct photo editing as appropriate.
  •  Other duties as may be assigned.

Job specifications

  •  Either a Bachelor’s degree in any of the following fields: Communications, Media Studies, Journalism, or any other related field with at least 2 years of relevant professional experience in media management, Public Relations, and/or digital technologies OR a
  • Diploma in any of the following fields: Communications, Media Studies, Journalism, or any other related field with at least three years of relevant professional experience which must include experience with media management, Public Relations, and/or digital technologies.
  •  Preferences: Experience working with non-governmental organizations, donors, and/or agencies or mass media, in developing content for social media.
  •  Strong written and verbal fluency in English is required. Proficiency in Kiswahili or Maasai language is strongly preferred.
  •  Photography skills are desirable..

The Position

This is a fulltime position based in Kajiado.

Job Summary

The holder of this position will provide overall leadership and technical support to a sub-county based technical team and oversee the design, planning, and implementation of all aspects of supported HIV/TB activities at the county, sub-county, and facility level in compliance with national and donor guidelines and policies.

Duties and responsibilities

Specifically, the HIV/TB Program Officer will perform the following job duties:

  •  Provide technical leadership and technical support related to prevention (HTS, PrEP, and GBV) and clinical management of HIV/AIDS, and TB/HIV collaborative activities.
  •  Take part in the coordination of the design, planning, and implementation of HIV prevention and clinical care and treatment and TB at the hub level.
  •  Provide capacity building and mentorship of HCWs in both ART and non-ART clinical care including the management of opportunistic infections (OI) and NCDs;
  •  Support the roll-out of a package of care for Advanced HIV Disease (AHD) including screening and management of the same for all populations
  •  Support and take the lead in HIV care, support, and treatment of children and adolescents living with HIV(CALHIV) as well as strengthen linkages to psychosocial support through orphaned and vulnerable children’s programs (OVC) and DREAMS (Determined, Resilient, Empowered, AIDS-free, Mentored and Safe) programs
  •  Implement guidelines, tools, standard operating procedures, and recommendations related to the implementation, and evaluation of clinical management of HIV/AIDS and TB.
  •  Provide leadership in the development and documentation of lessons learned related to clinical management of HIV/AIDS, and TB and apply these lessons to improve the program at the hub.
  •  Provide leadership in reviewing and evaluating performance at the facility, hub level, and program level.
  •  Support performance management and professional development of direct reports at the hub, including ongoing feedback, coaching and career support; and
  •  Working with M&E and HIS teams, strengthen DDIU and EMR use and uptake at all supported facilities in the hub
  •  Mentorship of facility staff at the hub
  •  Work closely with program staff in the hub office to ensure coordination in the implementation of technical strategies.
  •  Provide HRH leadership and follow-ups in all facilities.
  •  Use Continuous Quality Improvement (CQI) as a central strategy to provide technical assistance to facility staff to design, develop, implement, monitor, and evaluate strategies to effectively integrate various components of service delivery elements as appropriate.
  •  Enforce facility and Sub County level data consumption through Data demand and information use (DDIU)
  •  Facilitate organization and delivery of learning events through Collaborative Learning and Adaptation (CLA) at the hub
  •  Oversee the development of all regular and ad hoc care and treatment technical reports at the hub, as well as other deliverables;
  •  Provide technical assistance in capacity building to strengthen the capacity of program staff and facility staff, in collaboration with USAID, County Health Management Teams (CHMTs), and Sub County Health Management Teams (SCHMTs) to achieve program objectives and results, including achieving HIV epidemic control.
  •  Liaise with the Prevention and Care treatment leads, Regional Coordinator, and counterparts within the health system at Sub County levels to ensure quality service provision in the high-burden health facilities/areas
  •  Stay abreast of the latest technical developments in the field of care and treatment and support the SCHMTs to apply cutting-edge strategies to HIV programming.

Job specifications

  • Applicants should have either a degree in either Clinical Medicine or Nursing with at least four (4) years’ experience OR a Diploma in either Clinical Medicine or Nursing with at least seven 7) years’ experience.
  • Advanced HIV/TB Care and Treatment training will be a distinct advantage.
  • Hands-on clinical experience in HIV service delivery and technical coordination.
  • Proven experience and familiarity with MOH/GOK health systems.

  • Keep abreast of developments in county health system priorities and investments as well as program changes and progress to advise and recommend tools and strategies to increase

  • Provide appropriate and facilitative follow-up actions to ensure effective implementation of project strategies.

Job specifications

  • A Degree in any of the following fields: Health Sciences, Public Health, or Health Management, or any other related field.
  • Seven (7) years of experience in Public Health programs with at least four (4) years of exposure to the President’s Emergency Plan for AIDS Relief (PEPFAR) funded programs and in Continuous Quality Improvement (CQI).
  • Must have prior experience in capacity building, such as developing content, planning and facilitating training, and providing technical assistance.
  • Demonstrable experience in health systems strengthening.
